1 - Payments

By paying any part of the invoice the hirer is also agreeing to the Terms & Conditions.

All prices are inclusive of GST unless otherwise stated. A $300 deposit is necessary to secure the event time and date. Until a deposit is received, the date cannot be confirmed.

The outstanding amount, including any security bond or maintenance fee, must be paid by the hirer to Undisposable at least 14 days before the event. Failure to pay may result in the service not being fulfilled. The contract will include any fees for known additional logistics, travel, special dates and anything else required. If the client reveals new details after the contract is signed, e.g. the service being required on a boat, then additional fees may apply.

2 - On The Day Requirements

The client will provide Undisposable:

• A table at during the event of at least 1mX1m. 1mX2m size is preferred.

• A regular power outlet which is 10A output or if by petrol or diesel generator, full sine wave inversion is required.

• A meal for the attendant/s only if the hire is 4 hours or longer. The meal can be a main meal only, buffet style or roaming canapes. Alternatively, if a meal will not be provided then a 30 minute break during the hire time will be required for the attendant, during which no printing will take place.

 

3 - Damaged and Lost Equipment

Undisposable will take reasonable care to ensure event attendees are aware of how to properly operate the cameras and specifically that all equipment must be returned in good working order by: performing a short demonstration/instruction session at the commencement of the event and otherwise attending the print station.

The hirer is otherwise fully responsible for the proper treatment of all equipment by all of their attendees at the event including but not limited to the digital cameras, photo printer, computers, networking devices, memory cards, batteries and cabling owned and operated by Undisposable.

If major cosmetic or operational damage occurs to any of the hired equipment, or any equipment is lost or stolen during the hire, the amount required to rectify the damage or replace the equipment shall be paid by the hirer within 14 days of being notified by Undisposable. The full replacement cost of a digital camera is $350 inc GST per camera.

4 - Modifications to the package

If the hirer changes their package more than 14 days prior to the event date, regarding the service type, service duration or add-ons required, then no penalty will be applied and only any difference in pricing for the new package shall be applied. Changes by the hirer within 14 days of the the event date will incur the package pricing difference and may also incur fees if the new package price is lower than the previously agreed package.

 

5 - Cancellation

If the hirer cancels within 7 days of booking, the deposit will be returned in full. If the hirer cancels after 7 days of booking but more than 28 days before the event the monies paid, excluding the deposit, will be refunded. If the hirer cancels 28 days or less from the event date, all monies paid will be forfeited and non-refundable.

Prior notice is required of changes to the time and date of the event. Undisposable cannot be held responsible for unforeseen delays and disruptions caused by the venue, venue staff or guests.

5A - COVID19

If the hirer postpones their event with 24 hours notice or more, a credit for the full amount paid shall be retained as a credit for a future event, for up to 2 years from the postponement notification.

6 - Privacy

Undisposable will not sell your details to any third party and will take reasonable measures to ensure that your details remain confidential. Undisposable may contact you with future special offers.

7 - Hiring, delivery and service

Time taken to deliver, set up and remove the photo capture and printing service will be outside the rental period. An Undisposable operator will attend the printer and cameras throughout the event to ensure smooth operation.

The additional add on must be selected for all events held in the CBD to cover parking costs and the extra setting up and packing of equipment.

Additional accommodation costs for trips over 150kms will be at the cost of the hirer. These costs will be paid 2 weeks prior to the date of the event.

Undisposable may use the event images for their portfolio, samples, self-promotions, editorial use or for display on their website/social media sites. For any other use, Undisposable shall obtain written permission from the hirer.

Undisposable will not use images which are deemed unsuitable on their website or for advertising.

9 - Force Majeure

Undisposable will not be liable for failing to perform under the Agreement by the occurrence of any event beyond their reasonable control, including but not limited to a labour disturbance, internet outage or interruption of service, communication outage, failure by a service provided to us to perform, fire, threatened or actual act of terrorism, natural disaster, or war.

Liability for non-completion of service by and at the fault of Undisposable shall be limited to monies paid. If service is partially performed, a pro-rata amount shall be retained by Undisposable.

The additional add on must be selected for all events held in the CBD to cover parking costs and the extra setting up and packing of equipment.

10 - Miscellaneous

The Undisposable operator may stop the usage photo service at any time during the event if they reasonably feel that the hired equipment is being misused in a way that is dangerous to any persons or potentially damaging to the equipment.

Undisposable will accept no responsibility for artwork supplied by the client. It is up to the customer to supply the file in the correct resolution, format and layout.

This Agreement incorporates the understanding of both parties. Any variations to this Agreement must be in writing by Undisposable and signed by both parties.
